About the JCC:

JCC MetroWest in West Orange, NJ has been serving the Jewish and broader community for over 140 years. Our center, which has programming for 3 month-olds to 103 year-olds, has been a pillar of the community for generations. The J provides preschool, summer camp, health and fitness, aquatics, senior adult programming, special needs programming, theater, arts and so much more for our members.  The J provides a common ground for Jewish institutions, other local groups, organizations and individuals to work, learn and play together for the betterment of the whole community. Primary Responsibilities:

  • Proactively manage calendars for Executive Team including scheduling regular 1:1 meetings with staff, board members, or community leaders as appropriate
  • Check daily meetings on the calendar and ensure that all preparation for those meetings has been completed
  • Answers incoming calls for Executive Team
  • Maintain up-to-date and accurate files for all contracts and agency data
  • Execute correspondence as necessary
  • Handles JCC recognition of Staff and Board lifecycle events
  • Manage external rental bookings, contracts, arrangements and invoicing. Will be the point of contact for all rental parties.
  • Maintain and update records and pull reports from member and donor databases
  • Process donations and prepare acknowledgment letters, tributes and other donor related correspondence
  • Coordinate productions and mailing of appeal letters
  • Track and manage execution of the annual development calendar
  • Schedule all meetings including board and Executive and Finance Committee meetings and ensure that room, refreshments, and a\v equipment are set up properly
  • Represent CEO and COO as staff and visitors come into the building ensuring that all visitors are taken to meetings or other staff members
  • Provide a welcoming environment for all staff, volunteers, and members
  • Make travel arrangements for Executive Team
  • Process invoices for Executive Team
  • Provide general admin support for Executive, Development and Community Engagement teams
  • Attend and keep minutes for Board meetings and Management Team meetings
  • Provide support for agency-wide and development related functions (e.g., Rock the Block, New Jersey Jewish Film Festival, Women of Valor, etc.)
  • Create and actively promote a comfortable and welcoming environment where every member/participant is treated with dignity and respect in a friendly and personal manner
    Anticipate and be responsive to member/participant needs and requests
    Perform other related duties as required or directed

Qualifications:

  • Five or more years of administrative experience
  • Bachelor’s Degree and Experience in the non-profit sector preferred
  • Outstanding proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience with Donor Perfect preferred
  • Experience with Customer Relationship Management systems preferred
  • Excellent communications skills
  • Ability to prioritize, multi-task and be attentive to details
  • Positive attitude and proactive spirit
  • Self-starter with ability to learn quickly and work efficiently
  • Exhaustive attention to detail in data management and all other tasks
  • Proven ability to prioritize a large workload
  • Ability to work independently and as a team member with both volunteers and other employees
